1)      Open Word 7

2)      Open a new document

3)      Across the top bar you should see: Home  Insert   Page Layout  References  Mailings  Review  View.

4)      Click on Mailings.

5)      Under Mailings, click on Start Mail Merge.

6)      Click on "Step by Step Mail Merge Wizard."

7)      Look at the right hand side of the page.  If you are making labels, skip ahead to step #15.  If you are sending flyers, choose "Letters" as your document type.  At the bottom of the right hand side of the page, click on "Next: starting document"

8)      If you haven't composed your flyer yet, you can click on "Use the current document" or if you have a flyer document already, you can click on "Start from existing document" and open it up.

9)      On the bottom right hand side, click on "Next: Select Recipients"

10)  Select "Use and existing list."  This is where you get the mailing list that you saved as a plain text file.  Click on "Browse" and find the list.  When you open it, you'll get a box that shows the list.  You can decide at this point to do various things, such as choosing only Social Workers etc.  Click on OK.

11)  At the bottom right hand side, click on "Next: Write your letter"

12)  Position the cursor where you want the address to be and click on "Address Block."  You will get a box that allows you to format the address in various ways.   I use "Joshua Randall Jr."  Make sure your click the box for postal address.

13)  At the bottom right hand side, click on "Next: Complete the Merge"

14)  Now you can click on "Print"  or "Edit individual letters."  You are done with the letter section.

 

15)  So, if you are making labels, look at the right hand side of the page and click on "labels."

16)  Now look at the bottom right hand side of the page and click on "Next: Starting Document"

17)  Look at the top right hand side of the page where it says Select Starting Document and click on "Use existing document."  Now, just below that where it says "Change Document Layout" click on "Label Options." 

18)  Most of you will have a printer that prints one page at a time.  If so, click on "Page Printer."  You then must select the type of labels you are using.  I use Avery US letter 5160.  These are three across and ten down.

19)  Now look again at the bottom right hand side of the page.   Click on "Next: Select Recipients."

20)  Look at the top right hand side of the page where it says "Select Recipients."  Click on "Use an Existing List." Look a little further down and click on "Browse."  This is where you find the mailing list that you saved as a plain text file.  Open it.   You should get at "Mail Merge Recipients" Box.  This lets you do some fancy choices.  If you are printing the whole mailing list, just click ok.

21)  Now look again at the bottom right hand side of the page.  Click on "Next: Arrange your labels."

22)  Now look at the top right hand side of the page where it says "Arrange your labels."  Click on "Address Block."  A box pops up.  Check "Insert Recipient's Name in this Format."  I choose Joshua Randall Jr.  as the style.  Make sure you also check "Insert Postal Address."  Click ok.

23)  Now this is very important!  Look down just a bit where it says "Replicate Labels."  Click on  "Update All Labels."

24)  Now look again at the lower right hand side of the page and click on "Next: Preview your labels."

25)  Don't Panic!  They probably all look wrong.  Maybe it is the wrong font or they are too large or they are centered and you want them left justified.  You will correct that in the next step.  For now, look again at the lower right and click on "Next: Complete the Merge.

26)  Ok, here is the trick.  Look at the top LEFT of the screen and click on Home.  Once there, hold down the control key and the A key.  This should highlight the whole document.  Now you can do all the formatting that you would do in any document.  You can change the size of the font, make it bold, whatever.  I use a size 10 font.  Larger fonts may mean that the whole text will not fit on the label.  Once you have the page looking the way you want it, go to the right side of the screen about mid-way down and click on Print.  Make sure, of course, that you have the labels in your printer.  You are done.
